In Loving Memory of T.J. Kotze

Privacy Policy

This website was created to gather photographs, stories and words of remembrance in honour of T.J. Kotze. We treat what you share with care. This policy explains what we collect, why, and the choices you have, in line with South Africa's Protection of Personal Information Act (POPIA).

Who is responsible

The site is run by Diaan Esterhuizen on behalf of the Kotze family, who is the responsible party for the information you submit. You can contact us at any time at diaan6060@gmail.com.

What we collect

Only what you choose to submit through the form:

  • your first and last name
  • your relationship to T.J. Kotze (optional)
  • your message or memory (optional)
  • the photographs you upload (optional)
  • the date and time of your submission

Photos are resized and converted in your own browser before they are uploaded. This normally removes hidden information stored in the image file, such as the GPS location where it was taken.

We do not use cookies, analytics, advertising or tracking. Our hosting provider may briefly keep standard technical logs (such as your IP address) for security and to keep the site running.

Why we collect it

Your contribution is used for one purpose: to compile a commemorative memorial book (printed and/or digital) in memory of T.J. Kotze, to be shared with his family and friends. We will never sell your information, use it for marketing, or share it with anyone outside that purpose.

Who can see it

  • Other visitors to this website cannot see your submission.
  • The family members preparing the memorial book can see everything you submit.
  • Once the book is complete, the contributions included in it will be seen by the family and friends who receive a copy.

Where it is stored

Submissions are stored securely with Google Firebase in its Johannesburg, South Africa data centre. The website itself is hosted by Cloudflare. Both providers apply industry-standard security, and access to the submissions is restricted to the people preparing the book.

How long we keep it

We keep submissions for as long as the family wishes to preserve them as part of T.J. Kotze's memorial archive. You can ask us to remove your submission at any time. Please note that once the memorial book has been printed or shared, we cannot recall copies that have already been distributed.

Your rights

Under POPIA you have the right to:

  • ask what information we hold about you
  • ask us to correct or update it
  • ask us to delete it, or object to it being used
  • lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za)

To make a request, email diaan6060@gmail.com with your name and roughly when you submitted. We will respond as soon as we can.

Photos of other people and children

If your photos include other people, please only share them if you believe those people would be comfortable appearing in the memorial book. If you are under 18, please ask a parent or guardian before submitting.

Changes to this policy

If we update this policy, the new version will be posted on this page with a new effective date.
